Welcome to QRFleet! At QRFleet, we take your privacy seriously. This Privacy Policy explains how we collect, use, and protect your information when you use our platform. The QRFleet platform, website (qrfleet.io), and services are owned and operated by SPHERA SIA, a company registered in the Republic of Latvia under registration number 44103120479, with its registered office at Lielvārdes iela 103-72, Riga, LV-1084, Latvia. For the purpose of the General Data Protection Regulation (GDPR), SPHERA SIA acts as the data controller for your personal data.

1. Information We Collect

We only collect the minimum amount of data necessary to provide and improve our service.

  • Account Information: When you sign up, we collect your email address, password, and company name. This is used to manage your account and send you important updates.
  • Asset Data: We store the details of the vehicles and machines you add to the system, such as their make, model, license plates, serial numbers, current mileage, and engine hours.
  • Maintenance Logs: We keep track of your maintenance intervals and service history records to calculate when your next service is due.

2. What We Do NOT Collect (No GPS Tracking)

Unlike traditional fleet management systems, QRFleet does not collect real-time GPS location data.

  • We do not track where your vehicles are.
  • We do not monitor your drivers' speed, routes, or real-time driving behavior.
  • The only location-related event that may occur is if your browser or device asks for permission to log the location at the exact moment a QR code is scanned, and we only use this if you explicitly enable it.

3. Cookies and Local Storage

  • We use local storage (localStorage) in your web browser to keep you logged in and to save your active theme or dashboard preferences.
  • We use essential cookies to manage your active session and ensure the secure operation of our application.

4. How We Use Your Information

We use the gathered information to:

  • Run, maintain, and improve the QRFleet platform.
  • Calculate maintenance reminders and send email alerts if you have enabled them in your Account Settings.
  • Provide customer support and resolve any technical issues.
  • Prevent unauthorized access and keep your account secure.

5. Data Sharing and Third Parties

  • We do not sell, rent, or share your company or fleet data with third-party advertisers or data brokers.
  • We only share data with trusted service providers necessary to run our app (such as database hosting, email delivery services, and secure payment processors). These providers are strictly bound by confidentiality agreements.

6. Complete Data Control (The Danger Zone)

  • We believe that your data belongs entirely to you.
  • You can edit or delete any vehicle, machine, or maintenance record at any time through your dashboard.
  • If you decide to stop using QRFleet, you can permanently delete your account inside your Account Settings. Clicking the Delete Account button completely and irreversibly wipes all of your personal details, company info, asset lists, and historical logs from our databases.
